We at ShopBack respect the privacy and confidentiality of the personal data of everyone we interact with in the course of providing our services. We are committed to implementing policies, practices and processes to safeguard the collection, use, and disclosure of the personal data you provide us, in compliance with the applicable privacy legislation.

Set out below is our detailed personal data protection notice that covers all employment candidates of ShopBack and its affiliated companies. Rest assured that ShopBack takes privacy and security seriously and is receptive to any feedback on these issues. Personal data

In this personal data protection notice, “personal data” refers to any data, whether true or not, about an individual who can be identified from that data, or from that data and other information to which we have or are likely to have access, including data in our records as may be updated from time to time.

ShopBack controls the collection and use of your personal data when you apply with us and we are referred to as the “controller” in some countries.

Collection of personal data

ShopBack will collect personal data relating to you when you submit your CV and job application forms to us; or submit your CV to recruitment firms or job portals, who in turn forward the same to us. This is to facilitate management of the recruitment and hiring process with you and to comply with our legal obligations.

The personal data collected may include information relating to your:

  • Identity: This may include your full name, date of birth, photographs, national identification number, date of birth, nationality, local identification documents such as ID Card or Passport, Immigration Status and Immigration documents.
  • Contact information: This may include your address, email address or telephone number, social media or LinkedIn profile links.
  • Interactions with us: This includes recordings of your phone calls with us, emails you sent, and other records of any contact you have with us, or the results of any assessments conducted.
  • Current and previous employment information and education history.
  • Background check information.
  • Health Information (as and when required by law).
  • CV: This includes any other personal information you may supply when your CV is submitted or forwarded to us.

Apart from collecting the above personal data directly from you or your authorised representatives, ShopBack may also collect personal data from third parties (such as our recruitment partners), or from publicly available sources.

Accuracy of information and third party consent

You should ensure that all personal data submitted to us is complete, accurate, true, and correct. Further, when you provide us with any personal data relating to a third party (such as any character or personal references you may provide), you represent to us that you have obtained the consent of the third party to provide us with their personal data.

Use of personal data

The personal data collected from you allows us to manage the recruitment and hiring process, including the creation of an electronic candidate profile; managing your application; communication and conducting assessments and interviews with you; and conducting any necessary background and reference checks. We may also process your personal data to comply with internal and external reporting requirements or to comply with any investigations, law enforcement requests, or legal proceedings. ShopBack does not sell or trade personal data collected online with third parties.

Your personal data may also be used for us to contact you if there are other ShopBack job opportunities that may be available to you. If you do not wish to be contacted for other job opportunities at ShopBack, kindly indicate so when submitting your application.

We will not use personal data relating to you for purposes other than what we have informed you, or which we are permitted or required under local law and regulations.

Sharing of personal data

We may share personal data relating to you with:

  • Companies within the ShopBack group for legitimate purposes of managing the recruitment and hiring process, where we ensure that the people receiving your data are bound to maintain its confidentiality.
  • ShopBack’s business partners, vendors, agents, and service providers who we work with. This may include HR and job candidate service providers, any providers of employment benefits or insurance, and third party service providers who provide operational services to ShopBack (such as telecommunications, information technology, payment, printing, billing, payroll, processing, technical services, training, market research, or other services to ShopBack. It also includes our professional advisers such as auditors and lawyers and any credit bureau or agency where necessary and appropriate.
  • In the event of an actual or prospective business asset transaction (such as any merger, acquisition or asset sale), any business partner, investor, assignee, or transferee for the purposes of facilitating such a transaction.
  • Relevant regulators, statutory boards or authorities, or law enforcement agencies as required by any laws, rules, guidelines, and regulations or schemes.

Personal data is disclosed to the above only for relevant purposes (please refer to those mentioned in this notice).

In exceptional circumstances, ShopBack may also be required to disclose personal data relating to you, where there are grounds to believe that disclosure is necessary to prevent a threat to life or health, or for law enforcement purposes.

In some cases, we encrypt, anonymise, and aggregate the information before sharing it. Anonymising means stripping the information of personally identifiable features. Aggregating means presenting the information in groups or segments.

We will also ensure that the aforementioned organisations or entities we work with (whether located locally or overseas) observe strict confidentiality and data protection obligations in accordance with the personal data laws of the country which you are in.

Where we transfer your personal data to countries outside of the country which you are in, we will take steps to ensure that your personal data continues to receive a standard of protection that is at least comparable to that provided under the personal data laws of the country which you are in.

Security of personal data

ShopBack ensures that all personal data collected will be safely and securely stored and has implemented stringent measures to secure and protect your information. These include:

  • Utilising industry standard encryption by using a secure, encrypted TSL connection on all our web pages where you transmit Personal Data, and encrypting data at rest.
  • Ensuring that personal data relating to you is only stored on servers with proper safeguards to prevent security breaches.
  • Limiting access to the information in our systems.
  • Implementing strict verification processes to prevent unauthorised access to personal data.
  • Securely destroying your personal information when it’s no longer needed for our business or legal processes.

Storage of personal data

When submitting your job application to ShopBack, we generally request your consent to store your personal data to allow us to contact you for other job opportunities with us. This is also for us to comply with record-keeping requirements and for any potential legal matter, as and when required by law.

If you do not wish to be contacted for other job opportunities at ShopBack, kindly indicate so when submitting your application. Your personal data will then be stored for us to comply with record-keeping requirements, and will be fully anonymised thereafter where ShopBack will cease to store your personal data.

If your application is successful, your personal data will be processed in accordance with ShopBack’s employee privacy policy.

Privacy rights

Depending on your place of residence, you may have certain rights over how ShopBack collects, uses, shares or stores your personal data. ShopBack respects your control over your personal data and we take any requests or concerns seriously.

If at any time you wish to edit your consent on whether ShopBack can contact you for future opportunities, request to access or update your personal data stored by ShopBack, or withdraw consent for ShopBack to store your personal data, please refer to the link you will receive via email upon submission of your application that allows you to manage your personal data. Updating personal data

If you have previously submitted a job application to us and wish to update your personal information, kindly refer to the link provided in our email reply to your application. There, you may submit a request for your personal data to be updated along with the changes you wish to be made.

Respecting your consent and access to personal data

If you wish to access the personal data that we have relating to you, inquire about the ways in which personal data relating to you has been or may have been used or disclosed by ShopBack within the past year, you may also submit such a request in the link provided to you via email, or you can write in to our DPO at dpo@shopback.com. We will seek to attend to your request as best as we reasonably can.

Kindly note, however, that we may have to charge you a reasonable administrative fee for retrieving personal data relating to you. If this is applicable to your request, we will inform you of any charges before your request is processed.

Withdrawal of consent and deletion of personal data

Please note that upon withdrawal of your consent to our collection, use and disclosure of your information at any time (also by requesting through the link provided via email to you in response to your application), we will cease to retain your personal data, or may remove the means by which the data can be associated with you, when it is no longer needed for any business or legal purposes, such as where necessary to fulfil the purpose for which it was collected, or as required or permitted by applicable laws. We will dispose of or destroy such documents containing your personal data in a proper and secure manner.

If you withdraw your consent to our use and/or disclosure of personal data relating to you, depending on the nature of your objection, we may not be in a position to continue to administer the recruitment and hiring process, and will not contact you for any future opportunities at ShopBack. Our legal rights and remedies are expressly reserved in such event. We may retain your personal data for as long as it is necessary to fulfil the purpose for which it was collected, or as required or permitted by applicable laws.

ShopBack reserves the right to modify and update this personal data protection notice at any time to ensure that it is consistent with industry trends and/or any changes in legal or regulatory requirements.
